Pathways
Students can add themselves to a WBL activity in the WBL Participation Tracker.
Before beginning please ensure the following:
Students have been uploaded into NAFTrack Educators and linked to the correct academy
Students know their district ID number
Step 1 - Educators: Create an activity in the WBL Participation Tracker. Instructions can be found here.
Step 2 - Educators: Share the Sign-Up Link or QR Code with students who participated in the activity starting on the day of the activity.
Step 3 - Students: Enter their first and last name and school district ID and hit submit.
Step 4 - Educators: Review the list of student names under the 'Student Sign-Ups' tab on the View Activity page. Follow up as needed.
The system is designed to match student records in NAFTrack Educators against the academy(ies) attached to the activity based on their name and district ID. There are three possible statuses for this process.
Match
Action: the student is automatically added to the activity.
Explanation: This status indicates that the student's name and ID have been successfully matched with the records in the system. No further action is required.
Partial Match
Action: the student is not added to the activiy.
Explanation: This status means that there is a discrepency or incomplete match between the student's name and ID or the student's information is linked to another academy in the same high school.
Follow-up: Read the tooltip (the ? at the end of the status) to learn more about the discrepency. COnfirm the student did participate and manually check their name off under the 'Students' tab.
Not Found
Action: the student is not added to the activity.
Explanation: This status indicates that the student's name and ID to not match any records in NAFTrack Educators, or the student is inactive or not a NAF student.
Follow-up: If the student is missing from NAFTrack Educators, add the student to the appropriate acadmey and then manually check their name off unde the 'Students' tab.
Notes
The system will process the student information only once. After making changes, the statuses will not update or change, and students will need to be added manually. However, the system will continue to process new student entries.
The link provided for this process is unique to the user who shares it and will be the only one who can remove those students later if needed.
More than one uer can share a link or QR code for each activity.
Walk through the steps of having students sign in to an activity created in the WBL Participation Tracker.
The student sign-up page is available based on the following conditions:
Starting on the End Date of the activity
If the end date is in the future, students will not be able to sign-up; they can begin adding themselves startig on the end date of the activity or later.
During the current calendar year
The link is active and available for the current school year only; all students should be added to activities by July 31st.
Active activities
If an activity has been deactivated, students will not be able to check-in to that activity.
If a student used the link or QR Code to sign themselves into an activity but they were not added to the activity, you should check the status of their entry under the 'Student Sign-Ups' tab on the bottom of the 'View Activity' page. If it is anything other than 'Matched' some follow up is required. Review the different status explanations for more details.
If a student attended the activity and didn't get to check-in to the activity, there are two ways the student can be added to the activity.
1. Use the QR code or URL: The QR code or URL provided for check-ins remains active throughout the school year as long as the activity is active. Students can still use the sign-up page after the activity to assign themselves.
2. Educator Manually Assign: Educators can manually add students to the activity by going to the WBL Tracker. Simply find the activity and check the box next to the student's name (Detailed instructions can be found here.)
The QR code and link are available starting on the end date of the activity and will continue to be available until July 31st of the current school year.
The QR code and link will be unavailable for the following reasons:
The activity is in the future
The activity was marked inactive
The activity took place in a prior school year
If a student incorrectly checked themselves into an activity they didn't participate in, the person who shared the link can go to the view activity page and remove the student from the activity. They can do this by deselecting the check box next to the student's name.
